To make a sales forecast in Excel
It is important to establish certain budget targets and reporting even if you are not creating a complete budget. Here we show you how to use Excel to create a sales forecast that can be as easy or complicated as you need it to be. There is a common misunderstanding among many shopkeepers that you need a sound backgrounder in financials, bookkeeping, or any other field that involves a great deal of numbers to make a revenue forecast.
Actually, all you really need is the capacity to make relatively good "estimates" on the basis of the information available. Obviously, more information tends to result in better estimates, but in the end, a sales forecast is just your best estimate of how much cash you will make on sales over the forecast time.
In general, BI programs, such as BI Pro, contain a kind of tools that helps you to make sales forecasts. It' just as simple to build your exhibits in Excel - or almost any other spread sheet program. Against this background, it is still important to be able to understand what kind of reasoning you have used in your assumptions, especially if you need to incorporate the forecast into your businessplan or need to protect it from your trading partner or prospective investor.
Here we take a look at how to create a straightforward sales forecast in Microsoft Excel 2007. Although we will only create a very easy forecast, you can extend this forecast and the methods used to create it to include more complicated scenarios. You can find the Excel forecast and table that we are currently working on here in the Entrepreneurship Media Gallery under the heading Sample Excel Sales Forecast.
You are welcome to dowload the files and adapt them to your own needs. When you are an established company, it can also be useful to consider the sales data of the last month. You can clear this box on the template if you do not have this information at your fingertips or if you are a new start-up.
With this template, instead of inputting dollars for each month, we will build the forecast figures for each month on the anticipated rate of increase. For each month (February - December) we add a calculation that calculates the sales forecast for that month on the basis of the previous month's figures and the previous month's figures.
As an example, the equation given in the B7 box (the February sales forecast number) will be as follows: As soon as you have typed in this equation, you can copy it and, using the function Key Custom, insert only the equation into the other columns in the B columns. Step 3: Now we have to type some of our "assumptions" into the workbook.
First we need a sales forecast for January, the first month of our chart. Yes, that's a conjecture, but in general it's much simpler to predict how much you'll be doing in the first month of the sales deal that it's guessing what you'll be doing in six month.
It is also necessary to introduce percentage increases for each month. Dependent on your transaction category or your budget, these figures may be different for each month. If you are a seasonally active company selling swimwear, for example, your sales are likely to grow faster in the summers. Similarly, if you are planning to put a great deal of cash into your advertisements in the fall month, your tendency for your sales to grow will be higher.
We expect a 12% constant annual average for most of the year for the time being, but we will raise this to 25% for October - December to indicate the upswing during the Christmas buying period due to an increased promotion and the rise in customer purchases during these month. Once this information is entered, our sales forecasts are calculated and we receive a chart like the one below.
Here, if you only wanted one forecast information spreadsheet, you are essentially done. In general, however, it is a good idea for you to make a graph as a graphical presentation of the information in your spreadsheet that accompanies your forecast. 4: Mark the Month and Sales Forecast column in the datagrid.
For this example, we are creating a line graph. Go to the Insert page in the Excel ribbon, choose Line from the diagram grouping and choose the first line diagram. You can see the line graph as shown in the following picture. Stage 6: In its current state, the diagram is not very conspicuous.
You can, however, change the style and look of this graph as you would any other graph in Excel. The following is an example of the many changes you can make to the diagram theme.
